Write for someone who was not there
A good work order carries the context that disappears when a conversation ends. Start with the exact room or facility, describe the observed problem, and explain enough for the next person to understand what was reported. Avoid treating a short title as the entire record.
Room 316 is not cooling is more useful when the description explains what staff noticed and what has already been reported. Record facts, not an unverified diagnosis. The next person can investigate without assuming a particular part needs replacement.
Make priority a shared decision
A priority only helps if the team has a common understanding of it. Agree on how operational impact and the hotel's escalation procedures influence the order of work. Do not let every request become the highest priority simply because it is the newest one.
Safety concerns and situations requiring an immediate response must follow the property's procedures. Software priority labels support communication; they do not replace a supervisor's judgment or a qualified person's responsibilities.
Give status an operational meaning
Open, assigned, in progress, and completed should describe different situations. An assigned item has a responsible person; an in-progress item is actually being worked. If something is waiting for a part or an outside vendor, make the reason visible in the record rather than leaving the next shift to guess.
Completion should leave useful information behind. Record what was done and any follow-up that remains. The aim is not a long essay—it is enough context for the next shift and for a future repeat issue.
Review exceptions, not every line
A handoff can focus on unassigned work, high-priority items, waiting work, and issues that keep returning. A shared work-order view makes those conversations easier to organize. In Gold, try the work-order filters and inspect how location, priority, status, and assignment appear together.
